Colleague: Hey X client was kind of interested to see the Y product, I don't know much about it, could you help with a quick demo?
Me: Alright, who's going to be in on it?
Colleague: oh it'll just be [Middle Manager], she's only got like 10 minutes anyway so she just wants to see it quickly after lunch on Tuesday
Me: Sure, no probs

Today

Colleague: Oh hey I sent you a meeting invite for that presentation you're going to do tomorrow morning for X client
Not missing the subtle change in what this sounds like now compared to what was originally agreed
Me:...Who are all these other people?
Colleague: Well that's their CEO, those are their operations directors for the different branches, the group IT manager, and I think some of their external consultants

Original demonstration was gonna be a quick call with someone of no great importance to quickly run over a few features between appointments

This new thing will end up being a 2 hour discovery workshop with several very senior and very technically minded people with widesweeping implications to our bottom line. These are very different scenarios requiring very different levels of preparation.
